Finance & Administration Assistant
I organised meetings with the Stake Holders of the Programme, District Local
Government staff including the political wing of the Local Councils and the Programme implementing Partners together with the Various Ministries working with the programme.
• Managing Office supplies and inventory, these are the tools of work in the CF offices; Here I had an inventory tracker and would be updated once I complete the stock taking hence replenishment.
• I updated the company Fixed Asset register and ensured it was captured in QuickBooks online, plus handling the disposal of assets.
• Updating the procurement plan for the whole year for CF unit and the whole programme length for the district Local Governments and ensuring that all the items are procured and delivered within the stipulated time, according to the budgets.
• I Participated in formulating EU Tenders for much bigger procurements that are above the thresholds for basic encounter procurements following the Danida Procurement guidelines such as Motor vehicles, motorcycles and tarpaulins.
• Handling the office procurement procedures across the programs that are implemented following the accounts, procurement manual and the Danida anticorruption policy, here I ensured that they were completed on time.
• I submitted qualitative and quantitative on a monthly and quarterly reports to management on time because it’s the same kind of report that was submitted to the Royal Danish Embassy.
• I also Organized various tailor-made courses as per the approved District Local Government Capacity building plans in the Districts of Adjumani, Moyo, Obongi, Kitgum, Lamwo, Arua, Madi Okollo, Zombo, Nebbi, Pakwach, Agago and ensured that the trainings are conducted as planned, here I offered administrative support thorough out all the trainings in the different regions.
Accounts Clerk
• I posted all accounting data into the Sage Pastel Evolution accounting software, quick books online and 3E billing systems to generate the month end report with all the transactions charged to their respective projects and invoices to different clients.
• As the first contact person for clients and stake holders, I Carry out front desk duties such as receiving clients in office, answering and making phone calls, receiving documents and ensuring that they were delivered to the right people.
• Managing the pay roll by ensuring that all staff/ statutory deductions were correctly handled before the salaries were paid at the end of every month.
• I Prepared and monitored a cash flow forecast for the East Africa region and Delta Partnership UK by ensuring that the receipts and payments were in line with the three months’ projection

• I have analyzed company credit card statements by charging all the credit card expenses to the projects they belonged to. Handled the credit card reconciliations at the
end of every month for each credit card holder in the company to be reviewed and approved by the finance Manager.
• I conducted bank reconciliations at the end of every week or every month by reconciling the receipts and payments to ensure the cash at bank is balancing.
